We’re pleased to have helped raise money for military families and homeless animals AND had a good time celebrating Emmie the Superdog’s birthday!

Hike for Heroes Finish Line

Snick and his girlfriend Emmie are planning to see each other again real soon. Apparently, I’m a total sucker for the Shiba Mind Control because I’ve agreed to chauffeur dear Snick again… this time to Louisville, Kentucky. He’ll be there to cheer (ok, bark, not cheer) for Emmie and her family when they cross the Hike for Heroes finish line on September 3rd.

I can’t say for sure, but I have a feeling Snickers has something up his (proverbial) sleeve. Again.

Snick and I are leaving for NYC tomorrow morning.

The Canine Cocktail Pawty to benefit Hike for Our Heroes has gone from random idea to reality in a matter of six weeks. It’s been a lot of work on a hectic timeline, but it’s really coming together and I’m excited! Now that the event is less than a week away – and I’m not quite so frantic with the planning – I’d like to share a little more about WHY this party is happening.

First off, as you all know, I’m a huge advocate of responsible dog ownership. Snickers and I are Delta Society Pet Partners (which means he is a registered therapy dog) and we spend the majority of our therapy visit time with children, teaching them empathy for animals by exposing them to what fantastic companions animals can be. I have a strong belief that human/animal interaction makes the world a better place. The benefits of the bond that companion animals can share with us is simply amazing to me. This event is a doggie birthday party for “Emmie the Superdog,” a Shiba Inu who has walked over 2,500 miles by her human’s side as he walks across America (and back). Emmie is a wonderful example of the companionship and support that dogs provide to humans every day. I want to celebrate that!

Secondly, Emmie’s human, Troy Yocum, has undertaken a huge personal project to raise funds and awareness for military families in financial crisis. He started his Hike for Our Heroes a little over a year ago and, since then, he has changed the lives of about 40 families in need. I have a deep respect for the people who are willing to join the military knowing there is a chance they’ll have to go into combat and potentially die. I grew up proud of the fact that my father had been an Army officer between college and career. When I married my (now ex-) husband, he was a young enlisted man. We spent the first couple years of our marriage living apart, because we couldn’t afford for me to quit my job and live on base with him. The military life can be very difficult and it is certainly even more of a hardship during times like our current economic recession. Troy is making sacrifices to make a difference for people who need it. I want to show him that he is appreciated!

I’ve managed to organize this event, long distance and in a short timespan, entirely because I’ve had the help of some amazing friends who also believe in Troy’s mission. I’m grateful for the assistance and support that has been shown by every volunteer and for every purchased ticket and each donation that has been made so far. I’m excited that we’ll have a chance to celebrate the human/animal bond by “pawtying” on Emmie’s birthday and that we can show Troy and his family how much we appreciate their selfless dedication to helping people. The one goal that isn’t satisfied yet though is the desire to raise some real money for Troy to use in his mission. So far, Emmie’s party is paid for (whew!), we have one $500 sponsorship check to give Troy at the event, and we plan to auction off three original paintings as well. That’s a success and I’m certainly happy about it. I’d love to do so much more though.

In honor of Troy, his wife Mareike, their dogs Emmie and Harley, all the people who have helped them along the way on their mission, everyone who has helped me with Emmie’s birthday party, and all of the military families out there in need because someone they love is, or has been, deployed during these trying economic times, I hope that, if you can afford to do so, you will consider making a donation at http://www.caninecocktailpawty.org/donate/ to add to what we will present to Troy at the event. It would truly mean a lot to me for so many reasons!

Those of you who know me, know this isn’t anything new. LOL

The Heart Dog Series has kind of fallen by the wayside for the moment because I’ve been dedicating most of my discretionary time (meaning the time that I’m not at work or doing stuff for my family, NYCSR or NSCA) to putting together a charity benefit for Hike for Our Heroes. The awesome news is that the party is going to be a lot of fun. We’ll have hors d’oeuvres and drinks, photo fun and doggy playtime. More good news is that we’ve introduced a bunch of new people to the Hike for Our Heroes mission in the process of planning the event. The not so great news is that it looks like we’re not going to make nearly as large a donation as I’d hoped for when I first started planning this thing. This sort of party seems like a LOT of work for a relatively small donation when I compare it to other – less work intensive – projects that I’ve undertaken recently (which have earned considerably more in donations). I just have to keep reminding myself that this is also a party which will be FUN in addition to being a fund raiser. Right? Right!

Snickers and I will be in NYC for the party. If you want to be sure to see us while we’re in town, attend the Canine Cocktail Pawty on June 17th! If you can’t be there, but you’d like to make my heart sing a little (or a lot), make a donation towards the event. All proceeds (after party costs) go to Hike for Our Heroes to be used to help military families in financial crisis.

When this event is over, I plan to go back to working to simplify my life, so I can focus on building Animals Who Educate!

I spend most of my charity/volunteer time on dog-related issues, but after meeting Troy Yocum from Hike for Our Heroes, I wanted to do something to help. I'm stunned and dismayed at how LOW the return on time and effort invested can be when trying to raise money and awareness for a HUMAN cause rather than an animal one. I'm actually considering canceling the fund raiser that I have scheduled for three weeks from today.

I never, NEVER would have expected this, but it would seem that fund raising for humans is WAY HARDER than fund raising for dogs.

WHAT? How can that be?

I really think it’s true, unfortunately. Cases in point:

NYCSR currently has a foster dog who needed major surgery. We raised over $6,000 in two weeks, just with email and social marketing. She’s had her surgery and she’s recuperating.

In 2007, I threw the first Canine Cocktail Pawty, had a great time and raised a couple thousand dollars for Animal Haven Shelter. I planned and promoted it in less than two months. 80+ tickets sold like hotcakes.

In 2009, Snickers raised $1,000 for NYCSR for his birthday in barely a month, simply using FirstGiving, Twitter and facebook.

A month or two ago, my dad, Snickers and I met up with Troy Yocum of Hike for Our Heroes, his wife Mareike and their two dogs Emmie and Harley when they were walking in Alabama. Troy is a great guy. Listening to him talk about why he’s hiking, the trials and tribulations during the walk and what he’s accomplished so far really made me want to help them reach their goals and help as many families in need as possible.

I was helping a little by hooking them up with some contacts in NYC and then one day I realized Emmie’s birthday will be while they are in NYC. Taking advantage of that and throwing another Canine Cocktail Pawty seemed like a GREAT idea. Knowing that (1) it’s a unique and fun event which had been successful in the past, (2) NYC dog people love to take their dogs with them when they go out and (3) so many people would want to support such a worthy cause, I assumed it was a slam dunk to be a success. Who doesn’t want to support military families AND have a good time in the process?

Well, apparently, not many people really do. Tickets have been on sale now for 6 days and we’ve only sold 7 tickets. There are only a dozen people RSVP’d “yes” on the facebook event and some of them haven’t actually bought tickets.

Getting sponsorships has been MUCH harder than I expected as well. I’ve had a half dozen volunteers working to call and email companies, looking for monetary and supply donations and it’s been like pulling teeth. We have one Bronze Sponsor and some decorations so far and that’s it.

So, I have a dilemma. I know a lot of you guys are involved in charity and fund raising as well. so give me opinions on what to do. If ticket sales don’t hit 75 people, I have to cancel the event and refund the tickets, donations and sponsorships (cz it’s not like I can actually pay for it out of my pocket if the sales don’t cover expenses). Sales close in 15 days. Should I just cut my losses and cancel now? The downside for canceling is knowing that it MIGHT have been a huge success if I’d given it a little more time. The upside is that I don’t have to apologize to as many people and refund as many things if I do it now as opposed to later.

I have this awesome press release and no big sponsor to list as hosting the event.

Oh, and my friend Kelly Vivar is painting awesome paintings to auction off at the event! I suppose Snick could auction them off online if we cancel the event, but still… it sucks!

My gut tells me to hold out, but I can’t afford to cover expenses if it doesn’t work out.

The thing that I REALLY can’t understand is WHY PEOPLE AREN’T BUYING TICKETS. If the tickets would just sell, everything would be fine.

OK, hit me. What would you do?!?!?
I’m going to include some of the pre-planning information also, as I’ve been asked by a couple folks for advice on planning similar events.

Before – Planning for the Event

Meet the Breeds is an AKC event, with only the national breed club for each recognized breed being invited to participate. The purpose of the event is to help the public understand the differences between breeds directly from breed experts. That meant I needed decor, materials and volunteers all up to the task of educating the public about our wonderful Shibas – their history, their characteristics, where to buy a puppy, how to adopt a rescue and more.

Decor and Supplies

Since all the events I’d planned and manned in the past were for NYCSR, I needed new booth decor and materials for this event. Luckily for me, I know a wonderful designer – my friend Scott Lauben – who also created the banners, brochures and other materials for NYCSR. I had photographs of banners used at events on the west coast and wanted to do something similar but unique. Scott did an amazing job creating the banners and signage you see in the photos below. I borrowed most of the booth supplies from NYCSR, only purchasing what was necessary to go with the new banners. The club also donated black club t-shirts for the volunteers so we all had matching tees to help set us apart.

Printed Materials

Since this wasn’t a rescue event, I left out some of my regular rescue materials and created some new ones. Here’s what we had:

Meet the Shiba brochures created by NYCSR (They already existed, plus they served the dual purpose of providing an introduction to the breed while distributing the contact info for the national club and the area rescue.)

NSCA’s tri-fold Shiba Sports – Obedience and Rally brochure

NSCA’s tri-fold Shiba Sports – Agility brochure

How to Find a Responsible Breeder flyers

A list of recommended Shiba Inu breeders in the northeast (only given to people who specifically asked about breeders) including information on the national and regional Shiba clubs and Shiba rescue organizations.

Postcard size info sheets about the meetup group for anyone who came by and said "I have a Shiba Inu," but didn’t know about the group already.

NYCSR’s “Foster Homes Needed” flyer

and, last but not least, for people who wanted more in depth breed information, we had copies of Laura Payton’s book, Shiba Inus (Complete Pet Owner’s Manual), available for an $8 donation to the rescue. Thank you Laura for your wonderful donation!

Volunteers and Dogs

None of the planning or materials would be worth anything without great volunteers to make it all happen during the event. I was lucky enough to put together a great group of people from the Shiba Club of Greater NY, NYC Shiba Rescue, and the NYC Shiba Meetup. I want to say thank you to Kathy Mahoney, Barbara Leung, Molly Sumner, Antoinette Crudo, and Kathi Willi-Melton. I want to add a special thank you to Kathi’s husband, Matt Melton. We recruited Matt on Saturday morning to take a sick volunteer’s place. He was a huge help and ended up working all day Sunday too. So, Matt, you get the gold star for being so easy going about being recruited to work all weekend!

Physical Set Up

Javits was open all day Friday for early set up, so my friend Kat Mahoney and I spent the afternoon and evening setting up the booth. We played around with several different layouts. Normally, for rescue events, I put the table along one side with the rugs and ottomans in the remaining area. This is partly because we’re selling items at rescue events and I want them easily accessible. For this event though, I wanted to be sure passersby could see the banner on the front of the table, so the table went along the back. We put it at an angle to cut down on the amount of space lost behind it (plus it looked cool that way). We put the ottomans up front, with the plan being to keep one or two dogs on each ottoman during the whole event.

During – Surviving the Chaos

The actual event was amazing. The aisles were jam packed practically the entire time. Our booth was mobbed. Several people mentioned that we had one of the busiest booths (more on that later).

The crowd at this event was different from the crowd at a Pet Expo, pet fair, or even Responsible Dog Ownership Day. First, attendees couldn’t bring their own dogs, so they were more focused on the event itself. Secondly, it really felt like a large percentage of attendees were there to learn about the various breeds. I’ve never been asked so many intelligent questions about Shibas in such a short period of time! I was really impressed and excited by some of the people I talked to.

We had six dogs each day with three crates under the table for them to get breaks from the crowd, but they were still exhausted about two thirds of the way through the day each day. Events like this are hard – even for the most social dogs – and this one was noisier and busier than most. Snickers never wants to go in the crate during most events, but he actually asked for a couple breaks during this one.

After – The Postmortem

Breaking Down

Breaking down and getting out of Javits on Sunday night was a nightmare, mostly because Javits only had one small elevator for most of us to use (only the folks with the big trucks were loading out through the freight exit), but also because no one but Kat stayed to help me break down and we were both ridiculously exhausted at that point.

What I Learned

I’m hoping this will become an annual event, so I made mental notes all weekend regarding what went really well and what we could do better next time. In the interest of helping other people with similar events, here is what I learned.

When scheduling volunteers, I should have scheduled a couple people to help me set up and to help me break down. If it weren’t for Kat, I never would have managed. (I was disappointed when several people wanted to leave early on Sunday and no one offered to stay and help us. I should have scheduled help ahead of time, preferably people who live nearby and could be there without dogs.)

I had exactly the right number of people, but could have used more dogs. There were a lot of really fancy (and far out) booths there; we didn’t even compare. However, we had more dogs in our booth than most breeds and we had them up front and accessible most of the time. I think that was the reason our booth was so busy. I’d like to have more dogs next time so they get more breaks and stay fresh. A 10×10 booth with a table and six+ dogs in it doesn’t have much room left for people though, so I have to figure out how to have more dogs without having more people!

The layout of the booth needs to be tweaked. Having the ottomans up front was a great attraction, but it also caused a bottleneck where people couldn’t get out of the aisle and into the booth easily.

Next time, I’m going to put together the handout materials and have them easily accessible to volunteers up front. We all had handfuls of brochures to hand out, but most of the flyers were on the table and we were scrambling to get specific flyers for people as needed. I’d rather give people too much information than too little, so next time everyone with their hand out gets one of everything (except the breeder list) all bundled together.

Having identical t-shirts helped pull everything together and I’m going to look into somehow doing that for rescue events also.

I had a GREAT mix of volunteers – rescue folks, breeders, owners. Between us we knew just about everything possible about Shibas. I hope I can always have that sort of diverse and knowledgeable group!

I think that’s everything. If I missed anything or you have any questions, please leave me a comment and I’ll do my best to answer!
